Service planning for churches

Everyone knows what they're doing — and how far along we are.

Showflow keeps staffing, the run of show and the conversation in one place. During the service, the whole team follows the same screen.

Free under 100 users. Nothing for volunteers to install.

The problem

Sunday morning, five places at once

1

The spreadsheet says who is on sound. Someone updated it Thursday.

2

The run of show is a PDF in an email thread from last week.

3

Messages live in a Messenger thread that starts over every service.

4

And when the talk runs long, nobody knows whether that matters.

How it works

Three steps

01

Set up the service

Pick the date, assign roles, build the run of show. Reuse a template from last Sunday instead of starting over.

02

Share it with the team

Everyone subscribes to their calendar once. Their own services appear in Google, Apple or Outlook — and they get a notification when something changes.

03

Run it live

The service leader presses Next. Every screen follows along, with a countdown and the projected finish time.

Features

One place instead of five

Run of show

Build the order with a duration on each item. Drag to reorder. Save it as a template you can drop into any future service.

Roles and staffing

Sound, lighting, ProPresenter, hosts — as many people per role as you need. Nobody gets booked twice, and people on holiday can't be scheduled by mistake.

Live view

The whole team sees what's happening now, what's next, and how much time is left. Light or dark, on a phone or a stage monitor.

Calendar subscription

Volunteers subscribe once. Their services show up in the calendar they already use, and update themselves when plans change.

Chat per service

The conversation about Sunday lives with Sunday — not in a thread that scrolls away. Tag someone with @name and they get their own notification.

Notifications

A bell that tells you when you're scheduled, when someone mentions you, and when a service moves.

Showflow does one thing, and finishes it.

No giving or payments No children's check-in No membership database

Everything about Sunday, on one page

Run of show, staffing and the conversation — in one scroll, for everyone who is on. No hunting through old threads.

Remember we have communion today — four stations.

Will do. I will arrive at 10:00 to set up sound.

@Amalie Holm do you have the slides ready for the talk?
Amalie Holm · 09:24
Yes, everything is in ProPresenter 👍
Live

The part a spreadsheet can't do

When the talk runs five minutes long, everyone knows. The live view shows the current item, what's coming, and whether you're on time or over. The service leader moves the whole team forward with one button.

On every screen

Phone in a pocket, laptop at the sound desk, a monitor on stage. Same second, same view.

Light or dark

Dark for the booth and the stage. Light for the green room and the kitchen.

One button

The service leader presses Next. Nobody has to be told twice.

Who it's for

Two people, one page

For volunteers

Nothing new to learn

You get your services in the calendar you already use, and a message when something changes. You don't have to learn a system, and you don't have to ask anyone what's happening on Sunday.

For whoever is responsible

The whole term at a glance

You see the whole term at a glance, fill the gaps, and stop chasing people over text message. When you're away, someone else can pick it up without a handover.

Pricing

Free until you outgrow it

One price for the whole church. Not per volunteer, not per role, not per service.

FAQ

Frequently asked

Do volunteers need to install anything?
No. It runs in the browser, and most volunteers only ever subscribe to their calendar once. After that the services just appear in the calendar they already use.
Can we use our own domain?
Yes. The service can run on your church's own address, with your logo and your colours.
Can people sign in with the Google or Microsoft account we already have?
Yes, both. You can also invite people with an email address and a password instead. Password accounts can turn on two-factor with an authenticator app.
Can we import the services we already have in a calendar?
Yes. Point it at your existing calendar feed and the services come in as proposals. An administrator approves them before they're visible to the team, and later changes follow automatically.
What happens if someone is away?
They mark the dates they're unavailable, and the system won't let them be scheduled then.
Does it handle giving or children's check-in?
No, and that's deliberate. Showflow does one thing: planning and running services. It keeps the tool small enough that volunteers actually use it.
What does it cost?
Nothing, if fewer than 100 people have an account. From 100 users it is $20 a month for the whole church — one price, not per volunteer.
Can we try it first?
Placeholder — to be decidedIs there a demo environment to link to?
Where is our data stored?
Placeholder — to be confirmedAnswer this only once it is confirmed where data is stored. No certification claims until then.
